Ricoh Professional Services (RPS) Helps Organizations Increase Mailroom Efficiency
International Law Firm Increases Mailroom Efficiency
Challenges
This global law firm needed a reliable solution to their mailroom and document management needs. Administrative employees, paralegals and others wanted consistency among mail services, and management needed to control costs.
Ricoh Solution
To streamline mailroom operations, RPS kept the mailroom’s main office in its original location, but created satellite mailroom centers on every floor of the office. Each center was staffed by two dedicated employees. RPS also leveraged the building’s previously unused dumbwaiter system, which served as the perfect method to transport mail and supplies between the central hub and satellite centers. Staffed satellite centers added consistency the firm’s administrative personnel wanted, and served as a point-of-need center for all document management and distribution requests, including copying, faxing, and supply management.
Results
The RPS team consistently meets service level agreements and evaluates its performance at weekly meetings. The mailroom services relationship proved so successful that the firm also asked RPS to manage their fax systems
and supply room, and engaged RPS in similar contracts in the firm’s other national offices. RPS also replaced 140 printers throughout the building with Ricoh models, providing a fixed price per print that saved the firm an estimated $20,000 to $25,000 per month.

Ricoh’s newest colour production devices, the Pro C720 and C720s series have been released to the Australian market. The Pro C720/C720s are the latest in Ricoh’s ‘Pro’ series of digital devices, designed specially for the production environment.
The Ricoh Pro C720/720s have been specifically developed to fill market demand for affordable production grade colour devices.
After talking to various customer print rooms, Ricoh found that many were starting to increase capacity after the global financial crisis but were hesitant to make a big investment in equipment.
“Customers needed a machine that could fill their initial requirement and then grow with their business,” explained Ricoh Australia’s Product Group Manager of Production, Dave Gully. “The Ricoh Pro C720/C720s have true production credentials. With a speed of 72 pages per minute, regardless of stock weight, they also offer extensive inline finishing features including stapling, punching and front & back cover insertion.”

Greyhounds WA saves time with Ricoh Pro C900
According to the Print Shop Supervisor, Richard Such, the challenge lay in colour production, most notably the full-colour posters as well as the interposing of full colour covers over their mono race books, which was causing a bottleneck.
Following implementation of the Ricoh Pro C900 at the Print Shop, and a seamless integration with the Greyhounds WA network operating environment, productivity gains were almost immediate. Ricoh product specialists provided on-site training and worked alongside Such and his team to develop accurate colour profiles that would deliver optimum colour accuracy on a range of specified media for their race book covers and posters.
From that point on, the Print Shop’s productivity soared. So much so, that within a matter of weeks one of the three team members was able to move to a different area of operations without any impact on productivity.
As Greyhounds WA were producing over 2500 A4 saddle stitched race books each week, creating an efficient workflow was paramount to the install. The Ricoh Pro C900’s integration with the Print Shop’s existing equipment, particularly the Ricoh Pro 1356EX, resulted in a fully-finished book being produced with very little operator intervention.
"Increasingly, digital print production is more economical – in time and money – than traditional offset printing," Such states. "And when it comes to quality, the advances have been so great that where I used to be able to tell easily the difference between offset and digital prints, with the Pro C900 and Pro 1356EX, I now need a magnifying glass.

emFAST Inc.'s FACSys Connector Passes Certification for Additional Ricoh MFPs
[Bridgewater, NJ - June 30, 2010] - emFAST Inc., a pioneer in network fax messaging, is pleased to announce that certification of the FACSys
Connector for Ricoh ESA-enabled MFPs has been extended to the entire MFP family running SDK/J versions 4.2, 5.08 and 7.03. Combined with a FACSys fax server, this feature-rich connector, accessible from the touch screens of these devices, enables users to transmit faxes and fully leverages the inherent print functions of a Ricoh MFP to print from the FACSys inbox. With the updated version, users can now choose between the authenticated full feature set of the original FACSys Connector or the new FACSys "QuickFax" feature.
As a member of the RiDP Premier Plus program, emFAST used Ricoh's Software Developer's Kit (SDK) to fully integrate Ricoh MFPs with its secure and intuitive fax server solution. Ricoh's sophisticated Embedded Software Architecture (ESA) platform allowed the emFAST development team to fully leverage the capabilities found in Ricoh's MFPs.
"Ricoh's Software Developer's Kit provided a fast and easy means to develop the client for this connector," said Hamsa Buvaraghan, Principal Software Engineer, emFAST Inc. "Our FACSys Connector continues to lead the way in leveraging the Ricoh ESA development platform to extend functionality and enhance the user experience of the Ricoh ESA-enabled MFP product line."
White Paper: Embedded Software Architecture SDK
Summary
Ricoh's Embedded Software Architecture SDK (SDK/J) allows in-house developers, independent software vendors (ISVs) and systems integrators (SIs) to deliver customized Java-based solutions hosted on Ricoh MFPs and LPs. This robust software platform enables third parties to combine their own solutions with Ricoh's industry-leading hardware and extends Ricoh's leadership as the preferred document solution partner. This document describes the history, architecture, usage models, and development tools of this advanced technology from Ricoh.
History
Ricoh has lead the office equipment industry in providing solution platforms tailored for different customer requirements and segments. Since 2000, Ricoh adopted a standard UNIX-based architecture across its entire LPs and MFPs line. At that time, Ricoh had the future in mind and used these underpinnings to deliver a C-based solution development kit in 2002. Today Ricoh is augmenting this C-based API with a Java-based platform. Java was selected to support the rapid expansion of webbased solutions and services, to leverage the large number of engineers using the language, and toexploit the machine-independent Java architecture.

Ricoh, Lanier, And Savin Dealers Converge On Las Vegas
By Jonathan Bees, Director of Strategic Marketing Products, April 28, 2010
In an event noteworthy for a number of firsts, Ricoh held its national dealer meeting at the Palazzo Resort Hotel and Casino in Las Vegas, Nevada from April 19 to 22. Called Convergence 2010, the event marked the first time that dealers representing Ricoh, Lanier and Savin brands attended a unified meeting. Appropriately, the event theme was “Bringing the Best Together.”
General Session
The meeting provided the first opportunity for the newly reorganized Ricoh senior management team to express their vision for the future. With more than 1,000 attendees in the audience, Kevin Togashi, the new chairman and CEO of Ricoh Americas Holdings, Inc. opened the general session by highlighting several key initiatives. He emphasized the important role that Managed Document Services (MDS) programs would play in the company’s future growth; the strength of Ricoh’s environmental programs, marketed under the Total Green Office Solutions (TGOS) name; and, reaffirmed the company’s commitment to the dealer channel.
Togashi then addressed what was most likely the number one concern of the dealers in the room – the recent appointment of several senior IKON executives to high-level positions at Ricoh. Citing the need to expedite the Ricoh-IKON integration process, Togashi outlined some of the appointments. These included Matt Espe, the new chairman and CEO of Ricoh Americas Corporation (responsible for operations in North, Central and South America, including IKON); Martin Brodigan, the new executive vice president and CFO of Ricoh Americas Corporation; and, Jeffrey Hickling, the new president and CEO of Ricoh U.S.
Saying that he recognized that there was “some concern by the dealer community” about the organizational changes, Togashi emphasized Ricoh’s commitment to its dealers and their growth. He promised to provide “great products, great technology, great services and a level playing field for dealers.”
