Improve Productivity with Print Management
In the office, it seems we are always in a hurry. For this reason, very rarely does anyone take the time to fix a printer. Instead, they are forced to find a different
device so they can complete their task in a time-efficient manner.
Furthermore, IT departments rarely have the time or resources to fix mechanical issues in office devices. But still, they are forced to take control of the issue and organize some sort of fix, whether it is an easy paper jam or having to schedule a repair from a local company.
Luckily, there is a better way. Managed Print Services Programs continually monitor your printer fleet and deliver valuable productivity benefits to your business.
Proactive Service: Managed Print Service means there will be someone monitoring your printer fleet for you. If a printer is out of service, it can often be fixed before it becomes an issue for your business’ productivity.
Cost-Effective Printing
Documents are a vital part to any organization. Unfortunately, they can also cost a lot of money! The high cost of printing can take up nearly 3% of annual revenue.
However, there is good news. When the expense of document printing is managed properly it can be reduced by an average of 30%. On top of cutting costs, you can increase productivity simultaneously.
The strategy? Centralizing the purchase of printer supplies.
Many organizations purchase printing supplies by workgroup or department. When these supplies are mixed in with the purchasing of office supplies the expense can buried, making it very difficult to manage.
Increase Efficiency with Managed Print Services
Your company relies on the transfer of documents to drive business. Therefore, having a printer down or a scanner not calibrated correctly can be a huge drain on office efficiency. Fortunately there is a solution. A Managed Print Services program continually monitors your fleet of printers to maximize productivity and reduce unneeded costs.
Preemptive Service Response
With constant monitoring of your printer fleet, you give us the ability to respond proactively to your service needs. If a printer is out of service we are notified
immediately. Often we can fix it remotely before you even realize there is a problem. In other events, we will dispatch one of our certified service professionals to your location to get you up and running again.
Automated Supply Restocking
When a printer runs out of toner, it usually leads to expensive rush delivery charges in order to get the device running again. With a Managed Print Services program we will keep track of your supplies and usage and automatically ship supplies for your devices as they are needed. This reduces inventory costs as well as ensures your team will have the supplies on hand so they can be their most productive.
Preventative Maintenance
Preventative maintenance of your printer fleet will reduce possible downtime immensely. With a Managed Print Services program you will make sure that your printers are maintained properly with the recommended maintenance kits. This helps extend the usable life of the valuable printers you own.
Minimize IT Call Volumes with Managed Print Services
Is your IT Help Desk bombarded with questions regarding printers and multifunction systems? Printers and multifunction systems require a different level of maintenance because they are mechanical devices. This means printer issues can absorb a lot of the IT department’s time and your organization’s total revenue.
To overcome this challenge, your office can regain control through Remote Printer Management programs. All equipment, toner, parts, and maintenance can be included for one low cost per page. Remote Printer Management work with your IT department in the standardization of supply management through automated ordering of supplies. The program will also dispatch a technician automatically if a technical problem should arise.
Printing in Colour May Be a Luxury, but at Least it’s Green
Because of a long-held perception that colour printing is expensive, most office workers think using a colour printer for routine office documents is a luxury. That's according to a new survey about office worker print behaviours conducted by Zogby and commissioned by Xerox.
In addition, the overwhelming majority said they'd print in colour if it cost the same as black and white printing. So with the financial challenges of current market conditions, being green can provide your organisation with much needed fiscal relief. Being green can help you to save money.
There are more factors in being green in printing than you might think (notice printing in colour isn’t mentioned):
1. Duplexing. Printing on both sides of the stock is an obvious way to save paper. You need to be sure to have a device that makes duplexing easier. In fact, you can set up the print driver to default to duplexing.
2. Printing N-Up (multiple items on the same sheet). If you can print 2 or 4, for example, on the same sheet, you can save some paper. Using traditional tools like MS Word, this can be a bit more of a challenge. Many printers have the capability right in the driver now.
The Paperless Office Means the End of the Paper Trail
It is estimated that less than 20% of all records that have traditionally been paper-based have been converted to electronic formats. For example, according to AdvancedMD, only 10% - 15% of medical records are handled electronically.
This tells me that the paperless office is a myth and just a vision… we have a long way to go before we get there.
How much paper do you use? Do you foresee getting rid of it in the near future? Industry analysts suggest that this will be the year that we’ll start to see the turn from paper to paperless. We have been talking about the paperless office for better than 30 years now. Can this really be the year that we will do away with paper?
Well, that is a lofty goal for this year. But, the analysts do think that the turn toward the reduction in paper will start this year. I think that no one is going to totally eliminate the use of paper, but more and more companies are realising the benefits of converting an increasing amount of paper into digital files.
