Ear, Nose and Throat Associates of South Florida uses Laserfiche to clear its paperwork blockage

With 19 locations and a caseload of 4,000 patients per week, Ear, Nose and Throat Associates of South Florida is the state’s second largest physician group dedicated to treating disorders of the ears, nose and throat. Although the group has always provided patients with outstanding care, keeping patient charts up to date was becoming an increasingly significant challenge.

Most charts were stored in large filing cabinets in the group’s main office. Staff quickly filed charts before leaving for the day, resulting in frequent mistakes. Worse, staff lacked an effective method for tracking charts that had been sent to satellite offices, making it difficult to determine where a missing chart might be located.

Third Time’s the Charm

The dry-witted comedian Steven Wright once joked, “I’m so far ahead of my time, nobody’s there yet.” Mohave County Records Manager Chuck Chlarson can relate. He saw his two predecessors try without much success to implement an enterprise-wide records management system—despite a state mandate to do so—because of a lack of technical support and user buy-in. But as Chlarson has found, in Mohave County, being the third Records Manager is the ticket to success.

Upper Deerfield, NJ, is using Laserfiche to streamline operations and maximize limited resources

In order to minimize budgetary costs for taxpayers, local governments are forever searching for more creative and efficient ways to streamline operations. Toward that end, Upper Deerfield Township has turned to document management software to build a government database that’s turning its government paperwork into electronic images and its government staff into some of the most productive in New Jersey, according to one expert who knows a little about local government.

Earl Babb is a regional representative for General Code, one of the largest publishers of municipal law books in the country. Babb sold the new software system to Upper Deerfield and admits he’s hardly impartial. Still, Babb has worked with numerous New Jersey governments and he says Upper Deerfield taxpayers are getting more bang for their buck out of Town Hall than many of their neighbors in surrounding communities.

Collin County, TX, prepares for the future with Laserfiche records management

As one of the fastest growing counties in the nation, Collin County, TX, faced the challenge of managing an increasingly-large number of records generated by a growing population.

According to Records Manager Margaret Anderson, staff in the county’s courts had difficulty finding information, due to disparate systems implemented by each department. “We also had over 15,000 reels of microfilm and 18,450 boxes of paper stored throughout the county,” she says. “Files were everywhere and we couldn’t keep up with the demand. We had to ensure that staff did not unintentionally destroy records that needed to be retained, and we wanted to implement a case management system (CMS). But we also had to manage all the paper.

At Robertet, Inc., Laserfiche gets information in the right hands, thanks to an integration with the MAPICS ERP system

Sometimes, a little innovation can go a long way. That’s the case with a recent Laserfiche installation with one of the world’s oldest makers of fragrances and flavors, Robertet.

The 150-year old firm needed some way to readily access some very important papers it kept in notebooks at its US headquarters. Many of its operations were completely computerized, but not information in the notebooks, which held safety specifications about the materials they buy to make perfumes smell sweeter and soft drinks taste better.

According to federal guidelines, those documents, called material safety data sheets, had to be stored for some 30 years and Robertet wanted a safer way to store them. The company also wanted an easy way to store new material safety data sheets that came into the offices from time to time, and it wanted them stored in a document management system that would automatically index them in a way that would make them easy to find and retrieve.

Stage 2 Planning Partners get more than they expected from their Laserfiche system

stage 2 logo When it comes to their firm’s infrastructure, many financial advisors rely on the same paper files they’ve been using since they joined the industry. For some advisors, letting go of their paper is an unfathomable hurdle.

But other advisors—and their firms—recognize the benefits of document management. From immediately eliminating clutter to long-term benefits such as saving time, space and money, the return on investment with document management is quite impressive.
