By Dmitry Sheynin, Research Editor, September 28, 2010

Brother today announced the refresh of three lines of SOHO devices, with nine new units boasting faster print speeds, more robust feature sets, and street prices on par with the devices being replaced.

“We’re very strong on retaining our price points,” said Jeff Sandler, director of marketing, laser products for Brother International Corporation. “Our goal was to offer greater productivity at a great value, and we’ve done that with these products.”

At a small subterranean satellite office in Greenwich Village, Brother employees turned out multiple prints of a vivid floral design in full color, which might be frowned upon at some offices, but at 2400-x-600-dpi the prints were nonetheless impressive, especially given the pricing.

“Our newest family of color laser all-in-ones deliver the ideal combination of performance and value that small businesses and small office workgroups need,” said Sandler. “For example, these machines can allow a realtor to quickly and economically print color setup sheets for an open house.”

Maximising Productivity, Reducing Costs, Case Study

Capture1 Background
Xerox (Europe) Ltd operates a European Business Service Centre at Ballycoolin, Dublin, which includes customer services and a shared financial services centre. As well as providing Finance and Administration Services to Xerox customers, the Shared Service Centre processed Xerox’s own accounts payable and other financial documents, including invoices, credit notes, statements, travel and expenses, and purchase orders.

The Challenge
When the Shared Service Centre was established in 1998, it offered the most cost and process-effective way of administering Xerox’s business on a European basis. The main Xerox locations in Europe; UK, France, Germany and DSE sent their invoices and other financial documents to the Centre, where they were scanned and indexed according to category. Each document was processed and entered into the ERP and approved for payment. SLA’s were set to ensure payments were made in good time to ensure Xerox achieved maximum discount capability for early payment to Preferred Suppliers.

Over a period of time it became apparent that the Centre was struggling to deliver the economies of scale it had once achieved and a decision was made to assess the benefits of invoice processing outsourcing. Having reviewed the responses from the invited companies on the Shared Service Centre solution, Xerox made a corporate decision to enter into an outsource agreement for end-to-end processing of its accounts payable and other financial  documents, in order to improve productivity and cost efficiencies awarding the management of the Accounts Payable Process to Xerox Global Services (XGS) and all other financial management processes including control of the ERP to IBM.

The Solution
The implementation of the Accounts Payable Scanning, indexing and workflow solution and feed to IBM was completed and the project transferred to operations in just six weeks. Delivering full operational capability inclusive of SLA and full reporting suite for assessment of both XGS and IBM performance.

Relieve IT Resources with Print Management

Managing a fleet of printers can be very expensive for any company. In fact, statistics show that for every $1 spent on printing supplies, $9 must be spent to manage the process. Managing the process includes paying invoices to vendors, stocking supplies, absorbing shrinkage and paying power bills.iStock_000000080171Medium

On top of management expense, printers and copiers are a huge hassle to IT departments. When they break down, an internal IT person has to figure out a course of action, whether that means fixing it themselves or requesting service.

However, there is a better way! A Print Management program can provide everything you need to print for one low cost-per-page, including: supplies, preventative maintenance, and on-site service.

Document Management Minimizes Legal Risk

iStock_000001613266Small Many legal cases brought against businesses are lost due to an inability to provide the information or documents necessary to prove innocence. This costs businesses billions of dollars a year in lawsuits and hurts shareholders and employees.

However, with today’s document management technology, you can help your company be prepared for any future legal issues by providing an easily-searchable database for all business documents including emails, paper documents, invoices, spread sheets, presentations and contracts.

With an Electronic Document Management System (EDMS) you will have complete control of who accesses particular documents or files and you will have a record of document views and changes made.

Office Printing Just Got Easier

Office workers can now enjoy frustration free printing and help the environment at the same time with the latest release of Ricoh’s Equitrac software.

Equitrac solutions provide document cost management (auditing, allocation, recovery) and output management solutions for multifunction devices.

With the improved print system, named Print & Copy Control 4 (PCC4), documents can be automatically detected and printed using a swipe card or PIN at any multifunctional device on an organisation’s network.

“This signals the end of stacks of wasted paper due to abandoned print jobs.” said Kathy Wilson, General Manager of Business Solutions for Ricoh Australia.

The latest version of PCC4 includes other enhancements, such as:

  • Easier interaction at the multifunctional device with single sign on to third party applications for a superior user experience.
  • Simpler access to documents anywhere on the print server without searching, from any printer on the network with Follow-You-Printing.
  • Straightforward one-button scanning directly to email with Scan-to-Me.

KnowledgeTree and Fujitsu Unite Bulk Scanning with Document Management

KnowledgeTree, provider of cloud-based document management solutions today announced a joint offering with Fujitsu, the market leader in document imaging scanners and services, to marry bulk scanning and document management. A union made in virtual heaven, KnowledgeTree has extended its third-party application interface, Hot Folders, to work seamlessly with Fujitsu ScanSnap scanners, helping businesses streamline processes, and more importantly, reduce the incidence of headaches from sorting and organizing volumes of paper.

Accounting departments rejoice. The KnowledgeTree Hot Folder integration with Fujitsu ScanSnap enables businesses to scan invoices (individually or in bulk) and have them directly uploaded into the KnowledgeTree repository. Fujitsu ScanSnap scanners take the complication out of document imaging with one-touch ease of use, and bring duplex multi-sheet scanning to everyone by combining performance and affordability in a compact size. Utilizing the ScanSnap scanners with KnowledgeTree’s Hot Folders interface, high-quality images of scanned invoices can be entered into a workflow that leads them through various customizable process steps, turning what was once manual and labor-intensive into a smooth and efficient process. It’s almost magic.

“Desktop scanners, like the Fujitsu ScanSnap series, are the heroes of simplified document storage, doing the heavy lifting of converting paper to bits,” said Daniel Chalef, CEO of KnowledgeTree. “The KnowledgeTree Hot Folders integration adds logic, organization and process to a seemingly endless well of billing information and invoices. For accounting departments the combined solution is a bookkeeper’s dream come true.”

Document Management Can Improve Customer Service

Every company strives to provide excellent customer service. In fact, customer service is at the heart of virtually every industry.

How can I help you? Most customer service interactions involve a request for information. This information can be anything from shipping dates to tracking numbers or account balances and customer ID numbers.

By being able to access the needed information quickly, you can great improve the quality of customer service interactions. If a client has to be placed on hold or called back, the quality of the interaction drops substantially. Plus, the cost of the interaction increases.

Electronic Document Management (EDMS) technology can increase the quality of customer service while simultaneously lowering costs.

Reduce Waste with Print Management

Today’s society is very conscientious about how we use our natural resources.iStock_000003292097Small(2) Whether we are conserving gasoline by carpooling to work or reducing wastes by composting, we are very aware of how our actions affect the environment. However, despite the fact that we aim to recycle and conserve, there is some evidence that docuwaste has actually increased in the past few years.

Docuwaste comes from the over-indulgence in printing which consumes reams and reams of paper and uses gallons of ink and toner. The scariest part is most companies have no way of controlling their docuwaste. Luckily, by incorporating print management into your company, you can easily incorporate resource-saving strategies with your workforce.
