Solution Increases Capture Productivity by 1000 Percent
Each of the nation’s 435 congressional offices receives thousands of individual constituent communications each month. Each office is obligated to catalog and acknowledge receipt of all correspondence.
The AutoStore solution replaced a process that required manual scanning to email, re-saving and renaming each document and manual importation into the Lockheed IQ ECM system. “With AutoStore I can process 10 letters in the time it used to take for one letter,” says the office manager for an Illinois congressman.
Now, the congressman’s staff member logs in to the MFP using the touch screen and scans directly to the IQ system. Users may even search the IQ system for a specific constituent or mail record from the MFP’s control panel and append the correspondence to that individual’s archive.
Digital Student Records Leave More Time for Studies
Having a high level of national and international recognition, CES University’s academic focus includes medicine, dentistry, biology, veterinary medicine and zoology, as well as law. It also offers postgraduate courses such as clinical medicine and clinical dentistry, including master's degrees and doctorates. Since the second semester of 2008, applicants have been able to enroll via the university's website. The university's main campus is in Medellín, Colombia, where all of its academic services are based. Branch campuses are located in Sabaneta, Envigado, Girardota and in other parts of the country.
Documents
For each student enrollment, the system generates a form. Documents like reports, ICFES certificates (entrance exam, etc), qualifications and so on are attached. These documents then become part of the student's record or résumé. They are stored at the university and are active while the student remains at the institution and become inactive or withdrawn once they have graduated or leave the institution.
Work Process
Before DocuWare was installed, applicants wishing to register and enroll for classes stood in line for hours at the campus Admissions and Registrations office. Two staff members spent an average of six hours a day registering students. With this constraint, new applicants often had disappointingly, long wait times.
The documents submitted by each applicant were stored in physical folders and sent to the assigned staff interviewer as the final step to enrollment. Following the interview, they were stored at the Admissions and Registrations office. As an applicant becomes a student, additional documents were generated and added to their folder increasing the University’s liability due to physical manipulation, alterations, lost documents or unauthorized access. Eventually all documents were sent to the Centro de Administración Documental or document administration center responsible for record keeping.
Solution Requirements
The university was allowing students to enroll via its website but had difficulty managing the different documents since it had no control over their method of capture, quality or size. It needed a solution that would simplify the process, allow for the different document types and could be easily integrated into its website.

OKI Refreshes Color A4 Lineup, Launches Faster Monochrome Models

Building on its April 15th launch of the OKI Printing Solutions C610 and C711, OKI Data Americas continued its A4 lineup refresh today with the announcement of two more color printers and a pair of monochrome models.
At 25 ppm and 30 ppm, respectively, the color C330dn and C530dn deliver the fastest print speeds in their class, according to OKI’s competitive analysis of select models from HP, Brother, Lexmark, Dell and Samsung. Meanwhile, the monochrome B411 and B431 boast higher monthly duty cycles, at 80,000 pages, and higher toner capacities, at 4,000 and 10,000 sheets, respectively, as well as a more compact design, than the models they replace. All four models were designed with an eye toward increasing workplace productivity.
“One of the things we strive to do at OKI is help increase efficiency in SMBs,” said Carl Taylor, director of marketing for OKI Data Americas. “We do that in a variety of ways: by offering highest-in-class print speeds and duty cycles; decreasing the need for user intervention with higher-capacity toner cartridges; and incorporating a number of power-save features, cutting energy costs.”
The C530 can be put into sleep mode instantly with a dedicated button on the control panel and has a deep sleep mode that drops energy consumption to 1.1W. Both color printers also work with OKI’s Color Access Policy Manager, which allows administrators to further limit the cost of color printing by setting permissions and disabling color output for certain users or job types.
The C330 and C530 utilize a single-drum assembly that incorporates the drums for all four colors, meaning whenever one color reaches end of life, all four must be replaced, resulting in waste. Despite this, OKI claims the devices’ cost-per-page will compare favorably to other units that utilize separate drums.

Colortrac Unveil Expanding Large Format Scanner Line-Up at the IRgA Reprographics Show
Colortrac will be demonstrating some new products on their booth #112 at the IRgA 2010 Convention & Trade Show being held at the Palm Springs Convention Center, California, USA, (May 19th - 21st, 2010).
Visitors to the booth will see an advanced high performance A1 / D-size flatbed color scanner. Using CCD optical imaging technology to capture high quality images at high speed, a scan of an 24" x 33" document is saved in less than 20 seconds at 400dpi optical resolution via a high speed Gigabit Ethernet interface. Capable of great accuracy, it is perfect for fragile or uneven materials, like very thick or heavy media, wood grain, fabrics and framed art.

Making the most of the publishing and mailstream print opportunities
The introduction of high-volume continuous-feed digital color presses from HP expands print solution providers’ ability to address and grow the publishing market as well as the mailstream print market with its need for personalized, full-color variable-data printing.In its booth at IPEX, HP is presenting an advanced, end-to-end print-on-demand book printing workflow. The live demonstration features the new HP T200 Color Inkjet Web Press(2) printing book content that is then fed to a Lasermax Roll Systems Stream Folder system with double plow-fold capabilities for producing book blocks. The blocks are finished into books with covers printed on an HP Indigo press using a C.P. Bourg Binding system. Another end-to-end workflow demonstration features the HP T200 printing brochures that are folded by the Lasermax Roll Systems Stream Folder and then inserted into a JWR wrap envelope solution that prints personalized, full-color text and images on the outside of the envelope to match the contents of the brochure inside.

UNIMED maintains volumes of documents including medical records, hospital charts, doctor statements and more. In Brazil, the original document cannot leave the office of origin, so copies of patient records and bills are sent back and forth between offices for processing every 15 days. This exponentially increased the number of documents UNIMED maintained and resulted in multiple copies of the same information at several different locations.
Work Process
When a patient visits an in-network UNIMED physician, the medical records and billing documents are processed and stored at the local UNIMED office. If a patient seeks a second opinion or chooses to see a UNIMED doctor in another city, the two offices must bill each other for the visit. Because transferring and maintaining documents is such a large complex process, when patients get a second opinion many of the tests are repeated two to three times since the original test results are not easily available to the second physician. This phenomenon was a drain on the organization’s bottom line and efficiency, and contributed to the huge amount of records UNIMED needed to maintain.
