EDMS Works for the Little People

In today’s society everyone strives to become the boss whether it’s the manager, president or CEO. People tend to discount the little people like the secretary, assistant and file clerk. These employees are essential for making sure every-day tasks are completed smoothly and efficiently, yet businesses insist on making life harder for them by keeping with a Multi-ethnic business portraitpaper-based office.

Take for example a department assistant at a state university. He or she organizes everything from adjunct teacher files, instructor contracts, course schedules, money orders and background checks. For each type of document there are separate filing storage cabinets.

Also take into consideration the issue of employee manuals. Every task required for a job is provided in the inconvenient form of a 4-inch binder categorized haphazardly in a conglomerate of miscellaneous information.

Xerox Launches Enterprise Print Services; First To Meet Printing Needs From the Desktop to the Print Center

ROCHESTER, N.Y., Oct. 29, 2009  -- Solidifying its lead in managed print services (MPS), Xerox Corporation (NYSE: XRX) today announced Enterprise Print Services (EPS), the first offering to help companies better manage documents across their global print infrastructure - from the office to the in-house print center to the virtual workplace.

Xerox EPS reduces the cost of printing, sharing and updating everything from a home worker's 50-page proposal to full-color brochures in a marketing department. Extending Xerox's MPS offering to give companies a complete view of worldwide print operations, EPS ensures all document output meets budget targets, security policies, and environmental sustainability objectives.

"By expanding MPS beyond the office walls, organizations have total control over company-wide print spend," said Ken Weilerstein, vice president, research at Gartner, Inc. "This is significant because internal and external print shop costs can often exceed office printing spend, so optimizing across all print environments will uncover even more sources of cost savings."

Xerox makes it easy for companies to identify new opportunities to cut costs and improve efficiency across the entire print network by adding the following capabilities to its MPS portfolio:

  • Support for home and virtual printing: Employees working from home or remote locations benefit from the same support system offered in the office. Xerox monitors off-site devices and reaches out via phone, e-mail or Web-based support sessions to provide technical assistance. Universal print drivers give mobile workers easy access to print output devices when working in corporate offices.
  • Print routing to save money, paper and time: Based on an analysis of employee work habits, Xerox helps companies set up guidelines that direct documents to the most appropriate device, based on specific requirements such as cost, turnaround time and location. For example, when employees go to print, they receive a message such as: "Print to a different printer nearby to save $20."
  • Use the in-house print center more effectively: To better manage costs in the production print environment, EPS allows employees to send more complex printing requests to their internal print provider right from the desktop. Employees are presented with choices for binding and stapling and can preview the final document, eliminating the extra steps typically taken to prepare files and deliver them to the print center.

Xerox "Widens" Line of Printers; New Compact Systems Big on Features

ROCHESTER, N.Y., 29 Oct. 2009 -- Architectural, engineering and construction companies, manufacturing firms and commercial print shops have an affordable new option for their black-and-white technical documents. Xerox Corporation's (NYSE: XRX) Wide Format 6604™ and 6605™ Solutions mark the eighth and ninth wide format products the company has unveiled in the last two years.

The compact new systems integrate 600 x 600 dpi copying, scanning and printing with an easy-to-use interface to ensure crisp, accurate image quality on jobs such as emergency services maps, electrical wiring diagrams or construction plans. An on-board color scanner allows for hard copy documents to be scanned to electronic files or can copy existing prints of varying sizes, including the most common wide-format size drawings, E and A0 documents.

The 6604 and 6605 Solutions can produce up to four and five D or A1 size images per minute, respectively. Users can select a two-roll paper option for greater printing capacity. The 15-inch color touch screen and intuitive user interface make them easy to operate, even for users that don't have familiarity with wide format printers.

"What sets these products apart are the simple graphical user interface, high-quality output and modular approach, which make it easy for customers to add features and capacity as needs change," said Tim Greene, director of wide-format and jetting technologies at InfoTrends, a leading market research and consulting firm in the digital imaging and document solutions industry.

Balanced Deployment In Action: Lowering Costs

2009-12-08_225400Challenge
Like most organizations in the insurance industry, this large insurer views its documents (policies) as products. Yet a rigid printing and imaging environment featuring a strictly enforced monthly maximum volume for printed pages and an excess of installed equipment were steadily driving up costs. During some months the actual number of pages far outnumbered the allotted 200,000, while in other months less than one-quarter of those pages were required. It all depended on the time of year and the number of policies being written. What's more, a two-to-one user-to-printer ratio ensured a costly overcapacity.

Solution
The HP solution included the latest technology, original printer cartridges, maintenance and high-level support. The number of installed devices across the company fell from 97 to 50 including HP LaserJet 9000 MFPs, HP LaserJet 3320 MFPs, HP LaserJet 2200DN and HP LaserJet 5100TN. HP Web JetAdmin software enabled the company to proactively monitor, control and manage all network printers. The introduction of scanning technology enabled a reduction in paper usage. As a result of these innovations, printing costs were reduced by approximately 60 percent.

CASE STUDY: Toshiba’s e-STUDIO MFP Paired With AquaAce Paper

Case StudyChallenge The Seneca Park Zoo, located in Rochester, NY, needed to do something about its undersized signage. For years, the outdoor year-round facility was creating one-off plastic laminate signs for the facility’s more than 50 animal paddocks and multiple recycling receptacles. This process caused several challenges, including the laminate not being able to withstand the harsh conditions for more than a few months. It also couldn’t be easily replaced or updated, and didn’t mesh well with the zoo’s environmentally-friendly mission. The Seneca Park Zoo needed a new, time and cost-effective way to create small signage that could survive summer and winter conditions, leaving little to no environmental impact and staying in-line with the zoo’s public image.

As a non-profit, the Seneca Park Zoo Society did not have the funds for a dedicated in-house design staff to produce the small signage. They contracted with an outside company for their larger signs, but to keep costs down, created smaller signs on 8 1/2” x 11” paper which were then laminated. Turnaround time could be several days, so as a result, last-minute announcements such as, “Sea lions are unavailable today due to pool cleaning,” typically were hand written and tacked up at the main gate.

And the plastic lamination? It didn’t hold up in the extreme range of elements this outdoor facility saw year-round, and the signs were contrary to the zoo’s mission of leaving little to no negative environmental impact.

“Those plastic signs definitely didn’t support our goal of being stewards of the environment,” said T.C. Pellett, Marketing and Corporate Relations Director for Seneca Park Zoo.

Controlling Document Overload

When you have one or more groups in an enterprise, utilizing a document management system will provide storage, easy access and control of large information caches.

As workgroups grow larger, the data in the system continues to grow with it. In document management systems, iStock_000004697575Medium different sets of data are stored in different styles and fonts. Document management solution companies work on systems so anyone within a workgroup can access information.

Good document management software is judged by the accuracy, simplicity and availability of the information access methods. Most systems have a login that will not allow people without proper authentication to view the data. If the data is stolen, the system should be able to restore the lost document without losing format or information.

Océ Arizona 350 XT and Océ Arizona 350 GT Printers Win Product of the Year Awards

Oct. 23, 2009 – Trumbull, CT – The award-winning Océ Arizona® Series of UV flatbed printers adds two more awards to its list of distinguished honors. The Océ Arizona 350 XT and Océ Arizona 350 GT printers were both awarded the Product of the Year Award in their respective categories. The Océ Arizona 350 XT printer received the award for the Rigid Substrate UV >$200K MSRP category, and the Océ Arizona 350 GT printer was honored in the Rigid Substrate UV <$200K MSRP category. The awards were presented at the Specialty Graphic & Imaging Association's (SGIA) annual convention and exposition held October 7-9, 2009 in New Orleans, LA.

The Product of the Year Awards compare output from competing devices using a common test file designed by the association. The prints are reviewed by a panel of judges, each with a background and expertise in digital printing and imaging. The judges look for color appeal, detail and tonality, and the output is also judged on how closely it matches the test print.

The images for both entries were processed using ONYX® ProductionHouse™ V7.3.2 Océ Edition RIP software. ONYX Graphics software utilizes ONYX color science and a proprietary color engine designed to specifically address color and profiling issues unique to large format inkjet printing. The results are better neutral, saturated and dark colors; and consistent color fidelity.

Consistently honored, most award-winning UV flatbed printer series
The Océ Arizona Series UV flatbed printers have been consistently honored by the SGIA organization. In 2006, the year of the original Océ Arizona 250 GT printer's introduction, it won the Vision Award, which is given to an exhibiting manufacturer whose new product has the best chance of positively impacting the digital imaging industry. The decision was based on the product's relevance to the market, potential industry influence and prospective value to the product's end users. The award was presented in September 2006.
