There’s a reason why everyone else is doing it.
Some people may ask why most businesses are beginning to implement an electronic document management system when hard copy documents have driven businesses for years?
These electronic systems provide searchable access to scanned information, create a disaster recovery plan and ensure government regulatory compliance. All these things enable better business decisions and smoother cust
omer service interactions.
Many businesses are under the incorrect assumption that paper documents are somehow free. The fact is that the cost of managing paper documents may be more expensive than digital management alternatives.
The Cost of Paper Filing
Consider an average three-drawer filing cabinet. You have the cost of the actual cabinet, the cost of the folders, the cost of the paper prints and copies, and the cost of renting a space to keep the cabinet. Then you have to take in consideration the time it takes to copy, categorize and file documents in paper folders. Every time you need information you’ll have to physically search for the documents that could easily have been misfiled or misplaced.
Xerox Drives New Security Standards for Office Printing Products
NORWALK, Conn., Aug. 25, 2009 -- An office copier may seem harmless enough, but today's printing devices are sophisticated systems that are as much at risk of being hacked as networked computers and servers. Each time a document is copied, printed, scanned or faxed, an image is left behind on the system's hard drive. Without proper security measures, confidential information can easily be stolen.
To help ensure security standards are consistent across the printing industry, Xerox Corporation (NYSE: XRX) collaborated with the Institute of Electrical and Electronics Engineers and other hardware vendors to create the Hardcopy Device and System Security Working Group.
The efforts of the Working Group include development of the "2600 Profile," which outlines a general set of requirements vendors must follow for building secure devices. For example, the profile requires that proper authentication and authorization of users is performed before allowing access, and that the device keeps a security audit log of all activity. It also provides Common Criteria laboratories with a checklist for evaluating printer and MFP security.
Xerox's ColorQube™ 9200 Series MFP is currently undergoing certification using the 2600 profile, and is the first product expected to be certified.
"Many manufacturers claim their products are secure, but we take every measure to provide concrete assurance that our products protect data as it's printed, copied and shared," said Larry Kovnat, product security manager, Xerox Corporation. "This profile makes it easier for IT departments to identify which products will best meet their security requirements."
Océ and Equitrac Release New Embedded MFP Connector
PLANTATION, FL and TRUMBULL, CT – August 25, 2009 – Océ, an international leader in digital document and management delivery, and Equitrac, an award-winning print management solution provider, announced today the availability of a new connecter for the Océ Extended Solutions Platform (ESP) that allows Océ MFPs (Multifunctional Printers) to communicate in real time with Equitrac's advanced print management software for enforcing cost control and security policies.
"This new connector will enable customers using any new Océ device with our new Extended Solutions Platform technology to be more efficient and manage printing costs more easily. By linking our MFPs to Equitrac® software, we have made it easier for customers to track and control usage, recover costs, monitor and secure their MFPs," said Thomas O'Neill, Director Product Operations and Application Lab, Océ North America, Document Printing Systems. "This partnership with an industry leading solution provider allows us to give our customers more value and we believe that this will lead to a long and successful relationship."
Both the Equitrac Office® and Equitrac Express® solutions can be accessed through the operator panels of Océ MFPs that can use the Océ Extended Solutions Platform via an integrated interface on the device control panel. As a result, users are prompted to log in with credentials before being able to use the MFP providing the ability to track and report usage of the MFP and reduce unauthorized use.
The connector is hosted on the Equitrac server and pushed out to licensed MFPs over the network. An administrator can configure the connector to display user limits set on his/her account right on the user panel of the device. Developed by Equitrac for Océ, the connector was tested and certified in Océ North America's Quality and Technology Center in Shelton, Connecticut.
Are you using barcodes yet?
Since the 1960’s, barcode technology has been used in business industries including the identification of railroad cars. Today you can use the same barcode technology grocery stores and inventory systems do to streamline your business
processes like invoicing and collection.
Barcodes allow critical business information to be processed quickly and accurately.
For an example consider invoices. Convert the invoice number to a barcode and printed onto the payment remittance stub. When payment is received, the check and the remittance stub are scanned in to the system. The payment is thus recorded and a digital copy of the check is stored.
Ricoh SOA-Enabled MFPs
One of the recurring themes for multi-function printers (MFPs) is coming up with ways to turn the printer into a kind of customized workflow kiosk for any given business's needs. The goal is to build a menu of easy to use options that show on the MFP's touch panel. Users can then walk up to the MFP, pick an option, and start a workflow without having to know anything about what's going on behind the scenes with the information they want to scan or print. Ricoh's new service-oriented architecture (SOA)-enabled technology is the latest, and in many ways the most fully realized, implementation of that goal for large organizations.
What makes Ricoh's new approach fundamentally different from most is that it doesn't assume that companies will build workflows based on the printers' capabilities. Rather, it assumes companies already have, or are planning to get, SOA applications, and it lets the printer plug directly into those applications.
SOA, in case you're not familiar with the term, is a conceptual approach to creating a solution, in the same sense that cloud-computing or, indeed, the idea of programming itself is a concept. The basic idea is to take advantage of the ability to move information between operating systems, programming languages, programs, and the like. The individual processes available in any given implementation of SOA are called services. Applications like workflows move data between two or more services. They also coordinate what the services are actually doing.
IBM's WebSphere is one of the leading implementations of SOA. It's used by both government and business, and includes applications aimed specifically at healthcare, insurance, banking, more.
What Ricoh has done is create a client application that runs on Ricoh printers to let them work specifically with WebSphere. Essentially, it lets the printers plug into the WebSphere workflows, so the WebSphere application can take advantage of the MFP (or even a single function printer in some cases) as part of the workflow.

LAKE SUCCESS, N.Y. -- Canon U.S.A., Inc., a leader in digital imaging, today announced two new PIXMA Wireless1 Photo All-In-One (AIO) printers, one new PIXMA Inkjet Business Printer with PgR technology and a SELPHY Compact Photo Printer with a new voice guidance system. The versatility of these machines provides users with many options, whether working in the home office to print business documents or putting together an album of the latest family vacation.
Developed with the idea of making photo printing easier, the new Canon SELPHY and PIXMA products have several innovative features. The SELPHY ES40 Compact Photo Printer includes a voice guidance system which provides step-by-step instructions for printing and adding graphics to images without having to rely on a manual. The PIXMA MP990 and PIXMA MP640 Wireless1 Photo AIO printers utilize the Auto Photo Fix II feature to help users get the most out of photos and help to correct many common photo errors, such as underexposed images. To enhance those near perfect memorable photos from either a sunny beach wedding or a child’s graduation taking place in a dark auditorium, Auto Photo Fix II can assist with features such as Multi-Zone Exposure Correction, improvements in overall face detection, scene analysis, plus brightness and saturation correction.
With PgR technology on the Canon PIXMA iX7000 Inkjet Business Printer, business owners will be able to produce professional-looking documents in-house while also reducing overall printing costs by printing documents on plain paper. Small businesses will be able to print high-quality color business and marketing documents on low-cost plain paper as large as 11” x 17” or 13” x 19” without having to leave the office. Using a clear ink working in tandem with five LUCIA pigment inks when printing on plain paper, consumers will no longer need to worry about oversaturated and wrinkled documents.
“In today’s economy, consumers are searching for versatile and easy-to-use products at a reasonable price without sacrificing overall quality,” said Yuichi Ishizuka, senior vice president and general manager, Consumer Imaging Group, Canon U.S.A. “The addition of these new PIXMA and SELPHY printers will provide consumers and businesses with many different choices when making a decision and can be confident that they will receive a high-quality, durable product.”
Why Ink Jets are not the Answer
The most expensive liquid in the world may be the ink located in the cartridges used for ink jet printers. Did you realize that it costs around $2,800.00 a gallon for this ink? With expenses like this, it’s not surprising that many new computers
now include a color ink jet printer for free—the computer company will probably make more of a profit on replacement cartridges than they did on the original computer.
So how does this affect you?
Ink jet printers may make sense for casual use at home but they can be a huge burden to office budgets. More and more businesses are realizing that a color multifunction system is a smart part of a cost reduction strategy.
